Write a brief suppliers can quote
Turn a product idea into a clear request for quotation without oversharing sensitive information.
Describe the product and intended use
Explain what the product is, who it is for and how it will be used. Include relevant dimensions, materials, performance requirements, finishes and reference images that you have the right to share.
Make quantity and timing explicit
State the target quantity, number of variants, delivery country and preferred delivery date. Distinguish requirements from preferences so the supplier can propose workable alternatives.
Include packaging and market requirements
Describe individual packaging, shipping cartons, labelling and destination markets. Ask the supplier which documentation, testing and certifications apply to the proposed product. Obtain specialist advice where necessary.
Ask for a structured proposal
Request an estimated unit price, currency, minimum order, sample cost, development charges, lead time, capacity, payment terms and proposal validity. Ask which assumptions could change the price.
Protect confidential details
Share only what is needed for an initial assessment. If the project requires confidentiality, arrange an appropriate agreement before sending sensitive formulations, drawings or commercially sensitive information.
Keep a decision record
Save the brief version, supplier questions and proposal assumptions. When requirements change, make those changes explicit so you compare like with like.
